1.8.13 ICT Do's and Don'ts

SCOPE OF THIS CHAPTER

This Chapter explains the basic dos and don'ts of using Bromley's ICT network. Make sure you follow these rules and advice at all times. Remember that you are personally responsible for the security of any systems to which you have access including the data stored on those systems. Any abuse of the mandatory rules may lead ultimately to disciplinary action.

1. Do's

  1. Do keep your password secure  - so no-one else can become aware of it.
  2. Do log on regularly and check your emails.
  3. Do save your work in the shared area allocated to you, not on your personal (M:) drive which has limited space. This will enable colleagues to access your work in the event of your absence.
  4. Do make full use of your Outlook Calendar and give all other users read permission.
  5. Do set an 'Out of the Office' message when you are on annual leave.
  6. Do use an autosignature for your outgoing emails with your name, job title and telephone number.
  7. Do make sure your entry in the LBB Phone Book is correct.
  8. Do ensure full compliance with the Data Protection legislation.
  9. Do be aware of your rights under the Display Screen Equipment Regulations.
  10. Do know who your Systems Administrators and departmental ICT representatives are.
  11. Do log out and switch off your computer at the end of the day - this helps reduce carbon emissions.
  12. Do ensure your computer is easily accessible should an engineer be needed.
  13. Do log any fault with your computer or system only with the Liberata Service Desk.


2. Don'ts

  1. Don't reveal your password to anyone, not even your manager or a Liberata engineer.
  2. Don't use an obvious password.
  3. Never allow another user to use your login.
  4. Never disclose information gleaned from a computer system to anyone without the consent of your Manager.
  5. Never attempt to load any software onto your computer.
  6. Do not attempt to connect and disconnect any computer or other device to or from the network.
  7. Don't copy data or programs from your computer on to any external device.
  8. Do not attempt to create your own databases in Microsoft Access.
  9. Do not abuse your ability to send external emails or use the Internet.


3. Help

Something wrong with the system? To log a fault call, contact the Liberta Service Desk.

To escalate a fault call, refer to the escalation procedure on "OneBromley".

Further assistance can be obtained from your systems administrator or departmental ICT representative. If you are not sure who your administrator is your departmental rep should be able to help.
