1.8.14 E-mail and Internet Policy

SCOPE OF THIS CHAPTER

The Council has an internet and email code of conduct that we have all signed up to. The code allows internet browsing facilities to be used for personal use out of your normal work hours or for quick reference during the day as long as it does not infringe on business usage, and you are not using it for private commercial purposes.

1. Monitoring Usage

In the Code we make it clear that we monitor all access to and from the internet, covering sites visited, the time and duration of visits, etc. We will make detailed reports available to managers where

  • They have some concerns about the extent or type of an individual's use, either through their own experience/observations or by having the issue raised with them by other people; or
  • Where the system has triggered an alert either because of the nature of sites the person is trying to use, or the number of hours they are logged on to the internet at work. In that case we will inform their manager, who can then discuss any issues further with the individual.

Should your personal use of the system be discussed with you or used in disciplinary matters, you will have access to the same information as your manager. We will treat data on any individual's internet usage as confidential. If we feel there could be significant problems in your use of our systems, we might disable your login ID and e-mail account during investigations.


2. What do I Need to do?

  • Refresh your memory on your obligations under the Code of Conduct. 
  • If you come across a site whilst browsing that has inappropriate content that has somehow evaded the filtering software send the address details of the page to internet.filtering@bromley.gov.uk so that appropriate action can be taken to block access to the site.
  • Do not let anyone else use your log-in ID
  • Ensure that where you are using non-business websites during your breaks that you log off once you are finished rather than leaving them running in the background on your machine. This could distort our measures and give a misleading picture of your usage!
